This document is provided as a draft legal document and should be reviewed by qualified legal counsel before publication. It is tailored to VESILL's operations but does not constitute legal advice.
These Event Participation Terms govern your participation in VESILL events. By registering for, RSVPing to, or attending any VESILL event, you agree to these terms in addition to our Terms & Conditions, Privacy Policy, and Community Guidelines. Participants may also be required to accept a separate Event Waiver before participating in certain events, particularly those involving physical activity.
To attend a VESILL event, you must RSVP through the platform. Your RSVP reserves your spot subject to the event's capacity and any event-specific requirements. You will receive a confirmation and, where applicable, a QR Event Pass upon successful RSVP.
RSVP is a commitment. If your plans change, cancel your RSVP as early as possible through the platform so that another member may attend. Late cancellations and no-shows affect the experience for everyone and may impact your priority for future events.
Each VESILL event has a defined capacity to ensure a quality experience for all attendees. Once an event reaches capacity, additional RSVPs are placed on a waitlist. If a confirmed attendee cancels, the next waitlisted member will be notified and offered the available spot.
We reserve the right to adjust capacity, add or remove spots, or modify the event format at our discretion. Capacity decisions are made to optimize the event experience and are not a guarantee of attendance for any individual.
Event check-in is conducted by scanning your QR Event Pass at the event. You must present your own pass for check-in. VESILL staff or authorized administrators may also request identification to verify your identity.
Check-in opens at a designated time before the event begins. You are responsible for arriving during the check-in window. Late arrivals may be denied entry at the discretion of event organizers.
Your QR Event Pass is unique to you and linked to your account and event registration. It contains a non-identifying pass ID and is used solely for check-in and attendance verification.
QR Event Passes are non-transferable. You may not share, sell, duplicate, screenshot for another person, or alter your pass in any way. Each pass is valid only for the event and account to which it was issued. Misuse of a QR Event Pass may result in denial of entry and suspension of event privileges.
Entry to VESILL events is subject to the following requirements:
We reserve the right to deny entry to any individual, including those with a valid RSVP, if we determine that entry would compromise the safety, security, or quality of the event.
VESILL events follow a structured schedule. Arrival times and check-in windows are communicated in advance for each event. You are expected to arrive within the designated window.
Late arrivals may not be accommodated, particularly for events with time-sensitive components such as group runs, fitness sessions, or scheduled programming. If you anticipate arriving late, notify event organizers in advance, though accommodation is not guaranteed.
Event schedules, including start times, locations, venues, programming, speakers, hosts, and featured participants, are subject to change. We will make reasonable efforts to communicate changes in advance through the platform, email, or event threads.
We are not liable for any inconvenience or cost arising from schedule changes, including travel arrangements. We encourage members to check for updates before traveling to an event.
If you need to cancel your RSVP, do so as early as possible through the platform. Early cancellations allow waitlisted members to attend and help us plan effectively.
VESILL reserves the right to cancel or postpone events at any time due to low enrollment, weather, safety concerns, or other factors. In the event of a cancellation by VESILL, we will notify affected members and, where applicable, provide options for rescheduling or credit toward a future event.
VESILL events may take place outdoors and are subject to weather conditions. Light rain or moderate weather typically does not result in cancellation. However, severe weather—including lightning, extreme heat, flooding, or conditions that pose a safety risk—may result in postponement or cancellation.
Weather decisions are made with member safety as the priority. We will communicate weather-related changes as early as possible, though last-minute decisions may be necessary in rapidly changing conditions.
VESILL events may be photographed and recorded for promotional, marketing, documentation, and commercial purposes. By attending, you consent to being photographed and recorded, and you grant VESILL the irrevocable right to use your name, image, likeness, and voice in any medium, including on our website, social media channels, and in future marketing and promotional materials, without further compensation or notice.
If you do not wish to be photographed, notify event staff. We will make reasonable efforts to accommodate your request, though we cannot guarantee that you will not appear in group or wide shots.
Members are welcome to take photos at events for personal use, but should respect the photography etiquette outlined in our Community Guidelines, including obtaining consent before photographing other members individually and before posting photos of others on external platforms.
VESILL events may involve physical activity, including running, fitness exercises, and outdoor movement. You acknowledge that such activities carry inherent risks, including the risk of injury, illness, or more serious harm.
You represent that you are in adequate physical condition to participate and that you have consulted a physician if you have any health concerns. If you experience pain, dizziness, shortness of breath, or any other concerning symptoms during an event, stop immediately and seek assistance.
VESILL is not a medical provider and does not provide health advice. Event staff are not trained medical professionals, though basic first aid may be available at certain events.
You are responsible for your own safety, health, and well-being at VESILL events. This includes knowing your physical limits, staying hydrated, wearing appropriate gear, and making decisions that protect your health.
You are also responsible for your conduct at events. Treat other attendees, staff, venue personnel, and the public with respect. Your behavior reflects on the VESILL community.
You are responsible for your personal belongings at VESILL events. VESILL is not liable for lost, stolen, or damaged items. We recommend leaving valuables at home or securing them appropriately.
Where bag check or storage is provided, it is offered as a convenience. VESILL is not responsible for items left in bag check or storage areas.
VESILL events may include sponsor activations, brand activations, and promotional activities. Sponsors are independent third parties, and VESILL is not responsible for the conduct, products, or services of any sponsor.
Participation in sponsor activations is optional. Any interaction, transaction, or collaboration with a sponsor is solely between you and the sponsor. VESILL does not endorse, warrant, or guarantee any sponsor's products or services.
All VESILL events are governed by our Community Guidelines. By attending, you agree to conduct yourself in accordance with those standards, including treating all attendees with respect, refraining from harassment and discrimination, and following instructions from event staff.
Event staff and organizers have the authority to address conduct issues in real time. Their instructions must be followed.
VESILL reserves the right to remove any attendee from an event at any time if their conduct violates our Community Guidelines, these Event Participation Terms, or poses a risk to the safety or experience of others.
Removal from an event may also result in suspension of event privileges, account suspension, or permanent removal from the community, depending on the severity of the conduct.
No refund or compensation will be provided for removal from an event due to conduct violations, except where required by law.
Most VESILL events are currently free for members. For any future paid events, memberships, or experiences, refund terms will be communicated at the time of purchase and may vary by event type.
Unless otherwise stated for a specific event, refunds for paid events may be available for cancellations made a defined period before the event date. Cancellations within the defined period may not be eligible for a refund but may be eligible for credit toward a future event.
If VESILL cancels an event, a full refund or credit will be provided to those who have paid, at the member's preference.
VESILL is not liable for any failure to hold or complete an event due to circumstances beyond our reasonable control, including acts of God, natural disasters, severe weather, pandemics, government actions, civil unrest, or other events that make it impossible or unsafe to proceed.
In such circumstances, we may cancel, postpone, or modify the event without liability and will make reasonable efforts to notify affected members and provide appropriate options.
Your participation in VESILL events is subject to the limitation of liability, disclaimer of warranties, assumption of risk, and indemnification provisions set forth in our Terms & Conditions. Those provisions are incorporated here by reference and apply fully to your participation in any VESILL event.
Additionally, you may be required to accept a separate Event Waiver before participating in certain events. The Event Waiver provides further liability releases and risk acknowledgments specific to physical activity and event participation. Acceptance of the Event Waiver may be a condition of participation.
