This document is provided as a draft legal document and should be reviewed by qualified legal counsel before publication. It is tailored to VESILL's operations but does not constitute legal advice.
VESILL is operated by Buckley Ventures LLC ("VESILL," "we," "us," or "our"), a company dedicated to building a fitness and professional networking community for entrepreneurs, founders, and ambitious individuals.
This Privacy Policy explains how we collect, use, share, and protect your personal information when you use the VESILL website, events, and related services (collectively, the "Services"). By creating an account, attending an event, or otherwise using our Services, you acknowledge that your information will be handled as described in this policy.
We collect information that you provide directly to us, as well as information gathered automatically when you use our Services.
Account Information. When you create an account, we collect your name, email address, and authentication credentials. Your email is used for account verification, event communications, and essential service notifications.
Profile Information. As part of onboarding, you may provide details such as your city, industry, profession ("What I Do"), years of experience, and networking preferences including "What are you working toward?" and "How can the community help?" This information helps us facilitate meaningful connections within the community.
Photos. You may upload a profile photo so other members can recognize you at events. Profile photos are visible to the community in accordance with your privacy settings.
City and Location. We collect your city and, where applicable, location coordinates to match you with nearby events and members. Location data is used for event matching and community features, not for tracking your movements.
Industry and Professional Details. Your industry, role, and professional background help us surface relevant connections and tailor your community experience.
Networking Preferences. The "Working Toward" and "How the Community Can Help" fields you complete during onboarding are used to understand your goals and facilitate introductions with aligned members.
Event RSVPs. When you RSVP to an event, we record your RSVP status, the event details, and your attendance intent. This information is used to manage event capacity, generate guest lists, and coordinate logistics.
Event Passes. Upon RSVP confirmation, we generate a unique QR Event Pass linked to your account. The pass contains a non-identifying pass ID and is used for event check-in and attendance verification.
QR Check-Ins. When your QR Event Pass is scanned at an event, we record the check-in time, the scanning administrator, and your attendance status. This data is used for attendance tracking and event reporting.
Community Activity. We log activity such as profile creation, RSVPs, event check-ins, and profile updates. This activity may appear in the Community Pulse and other community feeds visible to other members, subject to your privacy settings.
Messages. Messages you post in event threads or community spaces are stored and displayed to other participants. We do not use private message content for advertising or external sharing.
Invitation Links. When you invite others to join VESILL, we record the invitation details, including the invitee's email or phone number, the invitation code, and the status of the invitation. We also track invitation attribution for community-building metrics.
Device and Technical Information. We automatically collect device type, operating system, browser type, IP address, and similar technical data when you access our Services. This information is used for security, analytics, and service optimization.
Analytics and Cookies. We use analytics tools and cookies to understand how our Services are used, to improve features, and to measure engagement. You can control cookies through your browser settings, though some functionality may be affected if cookies are disabled.
Optional Strava Integration. If you choose to connect your Strava account, we receive your Strava athlete ID, activity data (including run distance, pace, and timestamps), and OAuth tokens. This integration is optional, and you can disconnect at any time. Strava activity data is used for event matching, leaderboards, and performance features. Your Strava credentials are stored securely and are not shared with third parties.
We use the information we collect to:
We do not sell your personal information to third parties. We may share aggregated, de-identified data for analytics and partnership purposes, but such data cannot be used to identify you individually.
VESILL is built on the principle of visible, accountable community membership. When you complete onboarding, your profile—including your name, photo, city, industry, and networking preferences—may appear in the community directory and event guest lists, visible to other approved members.
You can control specific aspects of your visibility through your privacy settings, including whether your profile appears in the directory, whether you appear on event guest lists, and whether your Instagram, website, or intention sections are visible to others. These settings can be changed at any time from your Profile Settings.
Certain information, such as your email address, phone number, age, and annual income, is never displayed to other members and is kept private.
We provide privacy controls that let you manage how your information is displayed within the community. Available settings include:
You can adjust these settings at any time from your Profile Settings page. Changes take effect immediately.
VESILL partners with sponsors and brand partners to provide perks, discounts, and collaboration opportunities to our members. This section explains how sponsor-related data is handled.
Sponsor Profiles. Sponsors have profiles on VESILL that may include their logo, description, website, and social media links. Sponsor profiles are visible to members in the Event Sponsors section of the dashboard and event room for events the sponsor is attached to. Sponsors do not appear in the member directory unless they also have a MemberProfile.
Sponsor Offers. Sponsors may create offers (discounts, free products, consultations, giveaways) attached to specific events. Offers may be restricted to confirmed attendees, all members, or the public, as determined by the sponsor and VESILL. When you click "Redeem Offer," we track your click — including your user ID, name, email, and the source page — so the sponsor can measure engagement. If an offer includes a discount code or redemption URL, these are provided by the sponsor and redirect you to the sponsor's external website.
Collaboration Opportunities. Sponsors may post collaboration opportunities (e.g., UGC, content creation, brand deals) for members. You can only see and apply for collaboration opportunities if you have opted in to brand collaborations via your Profile Settings (sponsor_collab_opt_in). Offers and discounts remain visible to confirmed attendees regardless of this opt-in.
Applications. When you apply to a collaboration opportunity, we share your name, email, Instagram handle, website, profile photo, social reach, and application content (message, content idea, relevant experience) with the sponsor. This information is visible to the sponsor through their Sponsor Portal. You may only apply once per opportunity.
Sponsor Access. Sponsors have access to a limited Sponsor Portal where they can view their profile, events, offer performance (clicks, redemptions), and collaboration applications. Sponsors do NOT have access to the full member directory, private member data, event pass or check-in admin tools, or other sponsors' data. Sponsors can only see member information for members who have explicitly applied to their opportunities or clicked their offers.
Redemption Tracking. When you click "Redeem Offer," we record your user ID, member profile ID, name, email, timestamp, user agent, and source page (dashboard, event room, or email). This data is used to provide engagement metrics to sponsors and to prevent abuse.
Third-Party Sponsor Websites. Sponsor offers may link to external sponsor websites. VESILL is not responsible for the content, privacy practices, or terms of third-party sponsor websites. Once you leave VESILL, the sponsor's privacy policy applies.
No Guarantee of Deals or Compensation. VESILL does not guarantee that any sponsor offer, discount, or collaboration opportunity will result in a benefit. Sponsors may change, withdraw, or expire offers at any time. Collaboration applications may be declined at the sponsor's discretion. VESILL does not guarantee compensation for any collaboration, and the terms of any brand deal are solely between you and the sponsor.
Member Responsibility. You are solely responsible for any agreements, collaborations, or transactions you enter into with sponsors. VESILL is not a party to any external sponsor agreement unless explicitly stated in writing. You are responsible for reviewing sponsor terms, deliverables, and compensation before committing to any collaboration.
Data Sharing Opt-In. Your brand collaboration opt-in (sponsor_collab_opt_in) controls whether you can see and apply for collaboration opportunities. You can withdraw this opt-in at any time from your Profile Settings, though we cannot recall information already shared with a sponsor prior to your withdrawal.
Sponsors and partners are contractually required to use shared information only for the stated collaboration purpose and to comply with applicable privacy laws.
We send emails for account verification, event confirmations, event reminders, and essential service notifications. These communications are necessary for the functioning of the Services and cannot be opted out of without closing your account.
We may also send community updates, event announcements, and promotional content. You can manage your preferences for non-essential emails through your account settings or by using the unsubscribe link included in each message.
To operate events safely and effectively, we collect and process information related to RSVPs, attendance, check-ins, and event logistics. This includes your RSVP status, Event Pass data, check-in records, and any event-specific information you provide, such as your event goals or meeting intentions.
Event attendance data may be used to generate event reports, attendance metrics, and aggregate statistics. Individual attendance records are visible to event organizers and administrators for the purpose of managing the event.
We take reasonable measures to protect your personal information from unauthorized access, alteration, disclosure, or destruction. These measures may include encrypted data transmission, secure authentication, access controls, and periodic security reviews.
However, no method of transmission over the internet or method of electronic storage is completely secure. While we strive to protect your information, we cannot guarantee absolute security, and you acknowledge that you provide your information at your own risk.
If we become aware of a data breach affecting your personal information, we will notify affected users in accordance with applicable law.
We retain your personal information for as long as your account is active, or as needed to provide the Services, comply with legal obligations, resolve disputes, and enforce our agreements.
If you delete your VESILL profile, we will remove your profile, event history, RSVPs, Event Passes, community activity, and messages from our active systems. Some information may be retained in backup or log systems for a limited period for security, legal, or audit purposes, after which it will be permanently deleted.
Aggregated or de-identified data may be retained indefinitely, as it cannot be used to identify you.
You can delete your VESILL profile at any time from your Profile Settings. Deleting your profile permanently removes your VESILL-specific data, including your profile, event history, RSVPs, Event Passes, community activity, and messages.
Depending on your authentication provider, your underlying sign-in account may continue to exist after your VESILL profile is deleted. If you sign in again after deletion, you will start with a new, empty VESILL profile.
Deletion is irreversible. Once your profile is deleted, your data cannot be recovered.
